1. Pricing & Value
Do I understand exactly what I'm paying for?
Check what is included in the plan rather than relying on the headline price.
Have I checked the full pricing structure?
Look for usage limits, extra users, storage charges and paid add-ons.
Do I know what the software will cost over a year?
Monthly pricing can look very different when multiplied across a year.
Have I compared the price with realistic alternatives?
Compare similar products rather than assuming the first one you find is competitively priced.
Will I actually use enough of the product to justify the cost?
Paying for features nobody uses is still paying for them.
2. Features & Requirements
Does it solve the problem I actually have?
Start with the problem rather than the product's feature list.
Have I identified the features I genuinely need?
Separate must-have features from things that would simply be nice to have.
Have I checked the important limitations?
Limits can matter just as much as the features advertised on the pricing page.
Have I tested the features that matter most?
Use a free trial, demo or documentation where available.
Does it fit the way I already work?
A powerful tool can still be a poor fit if it creates unnecessary work.
3. Ease of Use
Can I understand how the main features work?
Confusing interfaces can turn a useful product into a daily annoyance.
Can I get started without a complicated setup?
Check how much configuration, migration or technical work is required.
Would other people on my team be able to use it?
Consider the learning curve if more than one person will use the software.
Does it save enough time to make the learning curve worthwhile?
Consider the time required to learn and maintain the tool.
4. Security & Privacy
Have I checked how my data is handled?
Read the privacy policy and understand what information the service stores.
Does it offer the security controls I need?
Consider features such as two-factor authentication, permissions and access controls.
Do I know where my data is stored?
This can matter for regulatory, contractual or internal business requirements.
Have I checked the company's security information?
Look for published security documentation and relevant certifications where applicable.
5. Support & Reliability
Is there support when I actually need it?
Check whether support is available by email, chat, phone or documentation.
Have I checked recent customer feedback?
Look beyond testimonials published on the company's own website.
Does the product appear actively maintained?
Look for recent updates, changelogs and current documentation.
Is there a clear status or outage process?
This matters more when the software is critical to your business.
6. Integrations & Data
Does it integrate with the tools I already use?
Check native integrations before assuming they exist.
Can I export my data?
Make sure you are not making it unnecessarily difficult to leave later.
Will it work with my existing workflow?
Consider whether you need workarounds or manual copying between systems.
7. Before You Buy
Have I checked the cancellation terms?
Know how and when you can cancel the subscription.
Have I checked the refund policy?
Do not assume that a free trial or refund period exists.
Have I checked whether prices can increase?
Look at the company's terms and pricing policy where available.
Do I have a plan for getting my data out?
Think about what happens if the product becomes too expensive or shuts down.
Have I compared the total cost with doing nothing?
Sometimes the existing process is cheaper than adding another subscription.
